The Catholic Diocese of Tyler in Texas is seeking a Controller who will serve under the authority of the diocesan bishop and finance officer to ensure the safe-keeping and proper stewardship of all assets, both financial and non-financial, and to provide financial and administrative services to the departments, offices, programs, parishes, schools, and affiliated entities of the diocese.

Purpose of Position:

The Controller manages the overall direction, coordination, and work product of the Accounting Department. The Controller safeguards assets and ensures accurate and timely recording of all transactions by implementing disciplines of internal controls and checks across all departments. The Controller produces monthly and annual financial reports and provides support and documentation to external auditors.

Essential Functions:

Management

  • Maintain a documented system of accounting policies and procedures. 
  • Oversee the operations of the Accounting Department, including the design of an organizational structure adequate for achieving the department's goals and objectives. 
  • Ensure existence of sufficient system of internal controls.
  • Manage commercial banking relationships.
  • Report to the Diocesan Finance Council on an as-needed basis. 

Transactions

  • Ensure that accounts payable are paid in a timely manner.
  • Ensure that all reasonable discounts are taken on accounts payable. 
  • Ensure that accounts receivable are collected promptly.
  • Monitor payroll processing by outside vendor.
  • Ensure that periodic bank reconciliations are completed.
  • Ensure that required debt payments are made on a timely basis.
  • Prepare deposits and handle data entry.
  • Maintain an orderly accounting filing system. 
  • Maintain a system of controls over accounting transactions.
  • Perform/manage the month end closing cycle to within 7 days.
  • Investment account donations, reporting and transfers.
  • Handle Priest Pension Plan enrollment.
  • Manage Parish Mission Assistance Program recordkeeping.

Reporting

  • Issue timely, complete and accurate financial statements for diocese and other affiliated entities. 
  • Preparation of budgets. 
  • Provide for a system of management financial reports. 
  • Provide support and reports to the Diocesan Finance Council. 
  • Prepare cash flow projections. 

Compliance

  • Coordinate the provision of information to external auditors for the annual audit. 
  • Monitor debt levels and compliance with debt covenants. 
  • Ensure compliance with canonical requirements and applicable local, state and federal reporting requirements and tax filings. 

Required Qualifications:

  • Bachelor’s degree in accounting or business administration.
  • Proficiency with QuickBooks and office software packages. 
  • At least 10 years of progressively responsible experience in the accounting field.

Preferred Qualifications:

  • Master’s degree in accounting or a field closely related.
  • Certified Public Accountant (CPA) certification.
  • Proficiency in US GAAP financial reporting requirements.
  • Excellent leadership and communications skills.
  • Knowledge of electronic record keeping.
  • Ability to manage multiple concurrent priorities.

Position 2: Administrative Assistant

Purpose of Position:

Provides responsible and complex secretarial and clerical skills and the use of initiative and judgment to relieve an administrator of many routine and administrative matters.

Essential Functions:

  • Assemble related material for use by supervisors and answer routine inquiries. Interview callers, make and cancel appointments, and answer questions. Provide service for several offices.
  • Maintain databases for several offices. Prepare correspondence, articles, reports, and specifications. 
  • Keep complex clerical records and prepare reports from a variety of material.
  • Monitor expenditures and income against the budgets, maintain accurate accounting records and facilitate monthly reconciliation of accounts.
  • Perform other related duties as assigned.

Required Qualifications:

  • High school diploma or equivalent.
  • Two years of secretarial experience.
  • Proficiency using computers and office software packages.

Preferred Qualifications:

  • Bachelor's degree in business or a field closely related to the specific endeavor of the department.
  • Three or more years of secretarial experience.
  • Fluency in Spanish.
